SAP: Logistics

SAP for logistics

SAP that knows where every pallet and every truck is. We implement SAP EWM and SAP TM on S/4HANA, move classic WM off ECC, and connect SAP to carriers, telematics and warehouse automation so planners stop working from email and spreadsheets. Senior SAP and integration engineers own the design, AI coding agents carry the volume, and every line is reviewed by a human.

Key highlights

  • We implement, migrate and support SAP Extended Warehouse Management and SAP Transportation Management on S/4HANA, embedded or decentralised.
  • Classic LE-WM on ECC does not carry forward as the strategic warehouse solution, so most WM users plan a move to EWM alongside S/4HANA.
  • We connect SAP to carriers through EDI and APIs, to telematics and visibility platforms, and to SAP Business Network for Logistics for freight collaboration.
  • Mainstream maintenance for SAP ECC 6.0 ends on 31 December 2027.
  • We are an independent engineering team, not an SAP partner. Licences stay with SAP or your reseller.

SAP problems we see in logistics

In logistics, SAP usually holds the orders and the invoices while the real work happens in separate warehouse, transport and carrier systems. The gaps between them are where cost and delay hide.

Classic WM on an ECC deadline. LE-WM was built for a different era of warehousing, and ECC 6.0 mainstream maintenance ends at the end of 2027. Moving to S/4HANA means deciding on EWM, embedded or decentralised, at the same time.
Transport planned outside SAP. Loads are built in spreadsheets or a separate TMS, carriers are booked by email, and SAP only learns about the shipment when the invoice arrives. Freight cost per order is a guess.
Carrier invoices checked by hand. Fuel surcharges, accessorials and rate changes are compared line by line against contracts in spreadsheets, so overcharges slip through and month end waits on freight accruals.
Warehouse automation bolted on. Conveyors, sorters, AutoStore or AMR fleets are driven by a separate control system with fragile custom interfaces to SAP, and any change to the warehouse layout becomes an IT project.
No live view of shipments. Customer service phones carriers to find out where a delivery is, because telematics and carrier tracking data never reach the order in SAP.
Yard and dock chaos. Trucks queue at the gate without appointments, dock doors are assigned by shouting, and detention charges appear on carrier invoices weeks later with no record to dispute them.
Capabilities

Our SAP capabilities for logistics

We cover warehouse, transport and freight settlement processes in SAP and the integrations that connect them to the physical operation.

SAP EWM implementation

Embedded or decentralised EWM on S/4HANA: inbound, putaway strategies, wave and pick planning, packing, cross docking, value added services, slotting and RF or mobile scanning, sized to the complexity of each site.

SAP Transportation Management

Freight units, load planning and optimisation, carrier selection and tendering, freight orders and shipment tracking in SAP TM on S/4HANA, integrated directly with sales orders, deliveries and EWM.

Freight settlement and audit

Freight agreements and rate tables in SAP, automatic cost calculation per shipment, freight settlement documents and self billing, so carrier invoices are checked by the system and accruals are ready at month end.

Carrier and partner integration

EDI and API integration with carriers, 3PLs and forwarders for tenders, status messages and invoices, plus freight collaboration through SAP Business Network for Logistics where it fits your carrier base.

Warehouse automation interfaces

Integration between EWM and conveyors, sorters, shuttle systems and AMR fleets, using EWM material flow control or a clean interface layer to the vendor's control software, documented and testable.

Yard, dock and visibility

Dock appointment scheduling, yard management of transportation units, and telematics or carrier tracking events posted against freight orders, so customer service sees the shipment status in SAP.

How we deliver

From warehouse walk to SAP running the network

  1. 01
    Assess

We walk the sites, review your WM or third party WMS setup, transport planning, carrier connections and custom code. Output: a written target architecture for EWM and TM, scope and risk list.

  2. 02
    Design

Fit to standard workshops per warehouse process and transport flow, embedded or decentralised EWM decision, carrier integration design and a plan for automation interfaces.

  3. 03
    Build and migrate

Configuration, interface build, RF and Fiori screens, and data migration of bins, stock and freight agreements. One pilot site goes live first, with stock reconciled daily.

  4. 04
    Run and improve

Hypercare through the first peak, then support with agreed response times. We roll out further sites and carriers and add optimisation, analytics or automation once the core is stable.

Compliance and controls in logistics SAP

Logistics SAP systems handle customs data, driver and consignee personal data and large volumes of freight invoices. We design for the obligations that touch SAP directly.

SOX and ITGC controls Segregation of duties in SAP roles GDPR and UK GDPR Customs and trade compliance data Dangerous goods master data Germany B2B e-invoicing France B2B e-invoicing Belgium B2B e-invoicing

Freight spend is a financial control. Freight agreements, settlement and accruals in SAP are designed against your SOX and internal control matrix, with approval workflows and segregation of duties between who agrees rates and who approves invoices.

Personal data is limited and traceable. Driver, consignee and proof of delivery data, including signatures and photos, is limited to what each process needs, with retention rules that support GDPR and UK GDPR requests.

Trade and invoicing rules are designed in. Export classification, customs data and dangerous goods attributes are kept in the master data where SAP GTS or your customs provider can use them. Carrier self billing and customer invoices are planned for e-invoicing mandates, such as Belgium from January 2026, France from September 2026 and Germany from 2027.

FAQ

Common questions

Embedded EWM suits most single and medium complexity warehouses, because it shares master data and runs in the same S/4HANA system. Decentralised EWM fits high volume or highly automated sites that must keep running if the central ERP is down. We decide per site in the assessment based on volume, automation and uptime needs.
Not as a long term option. SAP positions EWM as the strategic warehouse solution in S/4HANA, and classic LE-WM is not the path forward. Most WM users plan the move to EWM together with the S/4HANA migration so the warehouse is only disrupted once.
Not always. If your current TMS works and integrates cleanly, we connect it to S/4HANA through standard interfaces. SAP TM becomes worth it when freight planning, carrier tendering and freight settlement need to sit directly on SAP orders and deliveries without reconciliation.
Through EDI, carrier APIs or SAP Business Network for Logistics, depending on the carrier. Tenders, confirmations, status events and invoices are mapped to SAP freight orders, with monitoring so a missing status or rejected invoice is visible the same day.
No. RG INSYS is an independent engineering company and does not claim SAP partner status or SAP certifications. You license SAP directly from SAP or your reseller, and we work on your system under NDA with full IP assignment.
Yes. We provide application management support with agreed response times, including queue and interface monitoring, incidents, small changes and upgrades, with extra cover around peak season if you need it.
